How to Nail the Perfect Group Shot at Your Event**
(**Without the Stress, the Guesswork or the Chaos!)
A great group photo isn’t luck – it’s strategy. It’s the moment that captures the energy, the people, the purpose and the scale of your event in a single frame. Get it right, and you’ve got gold for marketing, sponsor reporting and long-term storytelling. Get it wrong and, well, Photoshop can only do so much.
Here’s how to consistently capture group shots that look polished, professional and full of personality – the Cornerstone Way!
1. Plan ahead like a Pro
The best group shots don’t start when the camera comes out – they start in the planning phase, long before anyone steps into frame.
Talk to your photographer early. A great event photographer (we love working with Magnetic Shots) will know what works, what doesn’t, and how to make the most of your venue. They may even scout the space in advance to find the perfect location.
Build it into your run sheet. Group shots take time – especially when you’re moving 150+ delegates. Put it into the program and communicate the when, where and how so speakers, delegates, staff and the venue are all aligned.
Sort your lighting early. Ballrooms and conference rooms often mix natural and artificial lighting, which can make or break your shot. If you’re shooting on stage, loop in your AV team to make sure lighting is crisp, even and flattering.
Before you lock anything in, get clear on the purpose of the image – is it for marketing campaigns, sponsor reporting, media releases, internal comms or legacy documentation? Knowing exactly where and how the photo will be used shapes everything from the composition to the level of formality, ensuring the final shot delivers real value long after the event is over.
Cornerstone Events Top Tip: Always check the space during setup. Stage lighting that’s already on for business sessions can elevate the entire shot.
Magnetic Shots Tip: Sometimes the delegates on the stage is the best arrangement but always check the total weight the stage can bear first!

2. Arrange with purpose, not panic.
Group photos fall apart when no one knows where to stand. Here’s how to avoid the dreaded “flat line of awkward humans”:
- Use steps, risers or stages to create height variation and keep every face visible
- Avoid rigid straight lines – a slight curve brings everyone into the frame naturally
- Position VIPs, speakers or key talent centrally so they’re impossible to miss
- Angle the outer edges inward to avoid that “stretched-to-the-sides” look
- Consider moving tables out of the way to create a more cohesive group. Or, if it’s cabaret, keep the tables there to represent the learning and conference room layout
- Think outside the lens – consider drone technology for a new perspective
Cornerstone Events Top Tip: Ask everyone to “shuffle in two steps.” It closes gaps instantly and gets the group photo-ready fast.
3. Light it like it matters (because is does).
Lighting can make the shot look hero-level… or horribly uneven.
- Aim for soft, even lighting with zero shadows across faces.
- If the room is dimmed for presentations, temporarily brighten it.
- Outdoors? Choose open shade to avoid squinting and harsh shadows.
Cornerstone Events Top Tip: Avoid strong backlighting unless you’re going for an intentional silhouette moment.
Magnetic Shots Tip: Only go outdoors if it suits your client and industry. Then try to elevate the photographer safely, sometimes there’s a balcony they can use. Remember to keep the sun behind the group for better lighting and less squinting.
4. Set the tone – loud, clear and confident
People respond to energy. If you bring the clarity and confidence, they’ll follow.
- Introduce yourself clearly and take command of the moment.
- Tell people exactly what to do: “Shoulders forward, chins up, eyes to me.”
- Keep the energy upbeat – especially for candid wide-group shots.
Cornerstone Events Top Tip: If the group is huge, consider using a mic so direction actually reaches the back row.

5. Use setting that set you up for success
Whether you’re behind the camera or working with a photographer:
- Shoot wide first, then move closer for variations.
- Use a higher f-stop (f/5.6-f/8) to keep everyone sharp.
- Burst mode is your best friend for open eyes and natural smiles.
- Tripods keep things crisp for large, layered groups.
- Be prepared to ‘head-swap’ in photoshop afterwards as it’s tricky to get one image with everyone looking good.
6. Manage the moment like clockwork
You usually get one chance, and maybe two minutes. Make it count.
- Have your shot list ready and accessible.
- Keep instructions simple – clarity wins over creativity here.
- Capture multiple versions: classic smile, hands by sides, hands raised, fun shot, sponsor shot.
Cornerstone Events Top Tip: Be fast, decisive and upbeat – momentum keeps everyone engaged.
7. Don’t forget the unscripted magic
The perfect group shot isn’t always the posed one.
Some of the most engaging images you’ll use later come from candid moments – the ones that show energy, connection and real human interaction.
Capture moments like:
- Laughter during table discussions
- Networking buzz
- Reactions to speakers
- Exhibitor demos
- Celebrations during awards
These shots help to tell the bigger story of your event, not just who attended it. And yes, this is where specialist event photographers shine.
8. Review before you release
Nothing is worse than realising your keynote speaker is hidden behind someone’s shoulder – after the delegates have dispersed!
Before you wrap:
- Check all key people are visible
- Look for smiles or at least pleasant expressions
- Make sure the frame is level and clean
- If anything is off – reshoot immediately – it’s faster than fixing it later.
Final thoughts – your group shot is part of your legacy
A polished group shot reflects the professionalism, energy and scale of your event. With clear planning, smart communication and a photographer who knows their craft, you’ll capture a moment that becomes part of your event’s story – long after that last delegate has headed home.
